A trade business can be difficult to describe when estimating, troubleshooting and customer care all run through the owner. A useful handover file shows how a job moves from the first call to payment, and where someone else could take responsibility. This is an organizing exercise, not a valuation or a claim that every business follows the same model.

Separate the kinds of work you perform

Start with a simple service map: planned maintenance, emergency calls, installations and larger projects. Use the categories already present in your accounting system, then note any gaps. A mixed set of invoices does not explain which work repeats and which depends on winning the next project.

Prepare a private schedule that connects each category to revenue, direct labor, materials and subcontractor costs. Ask your accountant to reconcile that schedule to the financial statements. Keep customer names and job-site details out of public planning tools.

Make agreement and credential dependencies visible

Collect the actual service agreements and note renewal dates, cancellation terms and any assignment or change-of-control clauses. A list of customer names is not a substitute for understanding the agreement. Your attorney should interpret the terms for the proposed transaction.

Create a separate inventory of licenses, qualifiers, permits and manufacturer relationships. Record who holds each one and which work relies on it. Do not assume a credential moves with equipment or an ownership interest. Requirements must be checked with the relevant authority.

Describe a working week without the owner

Walk through scheduling, estimating, purchasing, technical escalation, quality review and collections. Name the role responsible for each task in the private file, then identify tasks that only the owner can currently perform. Turn one recurring task into a written procedure before expanding the exercise.

The SBA describes preparing a sales agreement as part of selling a business. The schedules you organize now can help your professional team describe what is proposed for transfer. They do not replace a negotiated agreement, tax analysis or a license review.
